This Privacy Policy explains how WabaBiz collects, uses, stores, shares, and protects information when you use our website, WhatsApp business communication platform, automation tools, AI-assisted features, and connected services.

Important: When a business uses WabaBiz to communicate with its own customers, that business generally decides why and how customer information is used. In that context, the business is normally the controller and WabaBiz processes information on its instructions.

Introduction

WabaBiz is a WhatsApp sales, support, automation, CRM, broadcasting, AI-assistance, and integration platform operated by DynamicTech IT Solutions L.L.C (“WabaBiz”, “DynamicTech”, “we”, “us”, or “our”).

This Privacy Policy describes our practices regarding personal data and other information processed through the WabaBiz website, customer portal, applications, APIs, webhooks, integrations, support services, and related products (collectively, the “Services”).

By accessing or using the Services, you acknowledge that you have read this Privacy Policy. Where consent is required by applicable law, we will request it separately and you may withdraw it as described below.

Scope and our data-protection roles

When WabaBiz acts as a controller

We act as a controller when we determine the purposes and means of processing, such as for website visitors, account registration, subscription administration, billing, security, product analytics, direct enquiries, demos, and our own marketing activities.

When WabaBiz acts as a processor

Our business customers may upload, connect, transmit, or otherwise make available contact records, conversations, message templates, orders, support data, and other customer-controlled content. For this information, WabaBiz normally acts as a processor or service provider on behalf of the relevant business customer.

Individuals seeking to exercise rights regarding messages or information controlled by a WabaBiz business customer should contact that business first. We will support valid requests in accordance with our contractual and legal obligations.

Information we collect

The information we collect depends on how you interact with WabaBiz, which features you enable, and which systems you connect.

Account and identity data

Name, business name, job title, username, email address, phone number, country, and account identifiers.

Business and profile data

Business category, company details, website, branding, team structure, roles, permissions, and preferences.

Messaging and contact data

Customer contact details, WhatsApp identifiers, message content, attachments, template data, status, timestamps, and conversation history.

CRM and workflow data

Leads, notes, assignments, tags, pipeline records, tasks, automation rules, forms, outcomes, and audit trails.

Integration data

Data exchanged with websites, ecommerce stores, CRM/ERP systems, webhooks, APIs, and other services selected by the customer.

Billing and transaction data

Plan, subscription status, invoices, payment status, billing address, tax details, and limited payment metadata.

Technical and usage data

IP address, device and browser data, operating system, logs, session activity, feature usage, error data, and security events.

Support and communication data

Demo requests, support tickets, calls, emails, feedback, uploaded files, and correspondence with our team.

We do not require customers to provide unnecessary sensitive personal data. Customers are responsible for ensuring that information placed in WabaBiz is lawful, relevant, and appropriate for the intended use.

How we obtain information

We may obtain information:

  • Directly from you when you register, subscribe, request a demo, contact support, configure the platform, or communicate with us.
  • From the organisation that creates or manages your WabaBiz user account.
  • From individuals who communicate with a business using WabaBiz.
  • From WhatsApp, Meta, and other communication channels enabled by a customer.
  • From CRM, ERP, ecommerce, website, payment, analytics, cloud, and other integrations configured by a customer.
  • Automatically through logs, cookies, security tools, and similar technologies.
  • From public sources or business partners where permitted by law.

How we use information

We may process information to:

  • Provide, operate, configure, maintain, and improve the Services.
  • Create and manage customer accounts, workspaces, users, roles, and permissions.
  • Enable WhatsApp messaging, shared inboxes, approved templates, broadcasts, automation flows, routing, CRM functions, and integrations.
  • Process subscriptions, invoices, payments, credits, renewals, and related account administration.
  • Provide onboarding, implementation, training, technical support, and service communications.
  • Generate analytics, reports, usage insights, service metrics, and operational diagnostics.
  • Protect accounts, investigate misuse, prevent fraud, enforce limits, and maintain platform security.
  • Comply with legal obligations, respond to lawful requests, resolve disputes, and enforce agreements.
  • Communicate about product updates, relevant features, events, and offers where permitted by law.
  • Develop and test new functionality using aggregated, de-identified, synthetic, or otherwise appropriately protected data.

WhatsApp, Meta, and business messaging

WabaBiz enables customers to connect and use WhatsApp Business Platform services and related Meta technologies. Messages, phone numbers, business profiles, template content, delivery information, and other data may be transmitted to or received from Meta and WhatsApp as needed to provide these features.

Use of WhatsApp and Meta services is also governed by the terms, privacy notices, business messaging policies, and technical requirements issued by Meta and WhatsApp. Customers are responsible for obtaining appropriate permissions from message recipients and for using templates, broadcasts, automations, and contact data lawfully.

WabaBiz does not control how Meta independently processes information for its own purposes. You should review Meta’s and WhatsApp’s applicable privacy information for further details.

AI-assisted and automated features

WabaBiz may provide AI-assisted features such as suggested replies, summaries, intent detection, routing, classification, chatbot responses, knowledge-based answers, and workflow recommendations.

  • Customer-configured content and conversation data may be processed to generate the requested output.
  • AI output may be incomplete or inaccurate and should be reviewed before it is relied upon for important decisions.
  • Customers should not use AI features to make solely automated decisions that create legal or similarly significant effects unless they have established an appropriate lawful process.
  • Customers should avoid entering highly sensitive or unnecessary personal information into prompts, knowledge bases, or automation instructions.

Where third-party AI providers are used, we seek to apply contractual, access, retention, and security controls appropriate to the service. Specific providers may vary as our technology evolves.

How we share information

We may disclose information to the following categories of recipients:

  • Service providers: cloud hosting, infrastructure, security, email, communications, analytics, customer support, payment, and professional-service providers.
  • Platform and integration providers: Meta/WhatsApp and customer-selected CRM, ERP, ecommerce, website, API, webhook, and automation services.
  • Customer-authorised users: administrators, agents, supervisors, developers, and other users within the relevant workspace.
  • Affiliates and corporate parties: entities involved in a reorganisation, financing, merger, acquisition, sale, or transfer of assets, subject to appropriate safeguards.
  • Authorities and legal recipients: regulators, courts, law-enforcement bodies, advisers, or other parties when disclosure is required or permitted by law.
  • With your direction or consent: where you ask us to share information or enable a connection.

We do not sell personal data as a standalone business activity. We do not permit service providers to use customer-controlled content for unrelated independent purposes except where separately disclosed or legally required.

International data transfers

WabaBiz is based in the United Arab Emirates and may use service providers or infrastructure located in other countries. As a result, information may be processed outside the country where it was collected.

Where required, we use appropriate safeguards for international transfers, which may include contractual protections, transfer assessments, access controls, encryption, data-location options, or reliance on legally recognised transfer mechanisms.

Customers are responsible for assessing any additional localisation or sector-specific requirements that apply to the data they choose to process, particularly regulated health, financial, government, education, or similarly restricted information.

Data retention

We retain information only for as long as reasonably necessary for the purposes described in this Policy, including to provide the Services, maintain security, meet contractual commitments, comply with legal and accounting obligations, resolve disputes, and enforce agreements.

Deletion from active systems may not immediately remove information from encrypted backups. Backup copies are isolated and removed or overwritten through normal retention cycles unless preservation is legally required.

We use administrative, organisational, physical, and technical safeguards designed to protect information against unauthorised access, loss, misuse, alteration, or disclosure. Depending on the service and risk, these safeguards may include:

  • Role-based access controls, permissions, and authentication controls.
  • Encryption in transit and, where appropriate, at rest.
  • Logging, monitoring, backup, recovery, and incident-response processes.
  • Environment separation, least-privilege practices, and controlled administrative access.
  • Vendor assessment and contractual confidentiality or data-protection obligations.

No internet service is completely secure. Customers must protect their passwords, API credentials, webhook secrets, devices, administrator accounts, and connected services, and must promptly notify us of suspected unauthorised access.

Subject to applicable law and relevant exceptions, you may have the right to:

  • Request access to personal data we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion or restriction of processing.
  • Object to processing based on legitimate interests or direct marketing.
  • Withdraw consent where processing is based on consent.
  • Request portability of certain information in a commonly used format.
  • Ask for information about international transfers or recipients.
  • Raise a complaint with an applicable data-protection authority.

We may need to verify your identity and authority before completing a request. Rights may be limited where information must be retained for legal obligations, security, fraud prevention, contract performance, legal claims, or the rights of others.

For information controlled by a business using WabaBiz, please direct your request to that business. We will provide reasonable assistance to the business where required.

Our website and platform may use cookies, local storage, pixels, scripts, and similar technologies to keep users signed in, remember preferences, secure sessions, understand service usage, diagnose problems, and measure performance.

These technologies may include:

  • Strictly necessary technologies required for account access, authentication, security, and core functionality.
  • Preference technologies that remember language, interface, and workspace choices.
  • Analytics technologies that help us understand visits, feature use, performance, and errors.
  • Marketing technologies used only where permitted and, when legally required, with consent.

You can manage cookies through available consent controls and your browser settings. Disabling necessary technologies may prevent parts of the Services from functioning correctly.

Children’s privacy

WabaBiz is a business service and is not directed to children. We do not knowingly create accounts for children or intentionally collect their personal data for our own purposes. Business customers must ensure that any processing involving minors is lawful and supported by required notices, permissions, and safeguards.

Contact us if you believe a child has directly provided personal data to WabaBiz without appropriate authorisation.

Third-party websites and services

The Services may link to or integrate with third-party websites, applications, payment providers, communication platforms, CRM/ERP systems, ecommerce services, plugins, and APIs. Those parties may process information under their own terms and privacy notices.

WabaBiz is not responsible for the independent privacy or security practices of third parties. Customers should assess integrations before enabling them and should limit permissions and shared data to what is necessary.

Changes to this Privacy Policy

We may update this Privacy Policy to reflect changes in our Services, technology, legal obligations, security practices, or business operations. The “Effective” date at the top of the page shows when the current version became effective.

Where an update materially affects how we process personal data, we may provide additional notice through the website, platform, email, or another appropriate channel.
